Course Deposits
A minimum deposit of 30% of the total course fee is required to secure a place in the chosen course, which is payable at the time of enrolment. The remainder of the course fees may be paid off over the duration of your course, either fortnightly or monthly in the case of the Certificate level courses or weekly in the case of all other short courses.

Methods of Payment
Course deposits may be made by cash, EFTPOS, credit card or cheque (cheques made payable to the Illawarra College of Professional Beauty Therapy).
All courses have an affordable interest free payment plan available. For further information in relation to payment plans contact our office for more information.
Refund Policy
Please note the following conditions apply:
If a course is cancelled, or in extenuatng personal circumstances such as illness or bereavement, students may be granted credit for their fees or may transfer from one course to another course, subject to availability of space in the alternative course.
The substitution of the enrolled student for another person in a course is available only prior to course commencement. The college administration staff should be notified in writing no later than seven days prior to the course commencement.
Students wishing to cancel their enrolment prior to the commencement of the course must inform the college in writing stating the reasons as to why they wish to cancel.
The 30% deposit paid at time of enrolment is not refundable.
Special consideration will be given to refund of fees in special circumstances, following the written application to the College stating the reasons for cancellation.
Fees and late payments
Fees are levied on all courses. Any fees due must be paid by the method at stated in the college brochure or at time of enrolment.
A minimum deposit of 30% of the total course fee is required to secure your place in your chosen course, which is payable at the time of enrolment. The remainder of the course fees may be paid off over the duration of your course, either monthly in the case of the Certificate IV in Beauty Therapy course or weekly in the case of the short courses.
All students should be aware that all deposits paid on all courses are strictly non-refundable.
Other Fees: Late Payments
For all payments that are not made on time as per the agreed payment schedule a late fee of 10% of the scheduled payment will be incurred to cover administration costs.
In the case of those who are on a direct debt payment schedule an additional fee of $2.50 will be incurred for any direct debt payments that are due to insufficient funds.
Deferment Fee
If a student wishes to change a course after the commencement of the originally enrolled course or if they wish to defer to finish their studies at a later time an administration fee of $100 will be charged.

Special Consideration Regulations
Special Consideration regulations apply in all cases where a student is seeking some entitlement on the grounds of misadventure or extenuating circumstances.
Misadventure and Extenuating Circumstances
As a general guide misadventure or extenuating circumstances are circumstances which are:
beyond the student’s control (i.e. they could not have reasonably been anticipated, avoided or guarded against);
- sufficiently grave or of a nature or duration to have caused considerable disruption to the student’s
- capacity to study effectively or to complete subject requirements; and
- have interfered with the otherwise satisfactory fulfillment of the subject requirements
Misadventure
Circumstances contributing to misadventure can include:
- medical reasons
- family/personal reason
The following circumstances will not be considered misadventure:
self discipline needed to study effectively
stress or anxiety normally associated with examinations, required assessment tasks or any aspect of course work
lack of knowledge of requirements of academic work
Extenuating Circumstances
Circumstances which can be deemed as extenuating include:
- administrative problems - such as the late arrival of teaching materials, texts, enrolment errors or delays
- legal commitments - jury duty or court appearance
- other events that pose a major obstacle to the student proceeding satisfactorily with his or her studies
Access and Equity
The Illawarra College of Professional Beauty Therapy is committed to providing opportunities to all people for advancement, regardless of their background.
We ensure that our selection criterion is non-discriminatory, providing fair access to training for disadvantaged people.
Every student who meets the entry requirements (if applicable) as prescribed by the appropriate National Training Package will be accepted into any program within the Illawarra College of Professional Beauty Therapy scope of registration.
- The Illawarra College of Professional Beauty Therapy endorses the national equity strategy by incorporating the principles of equity into all programs
- All Illawarra College of Professional Beauty Therapy staff are instructed in their responsibilities regarding Access and Equity Principles
- Participants have equitable access to all programs irrespective of their gender, culture, linguistic background, race, socio-economic background; disability, age, marital status, pregnancy, sexual orientation or carer’s responsibilities.
- Some programs offered may have limited number of places available and these will be filled in a chronological order upon completion of enrolment
- Admission procedures will therefore be free of discrimination, and if an individual does not meet entry requirements, all attempts are made to assist them to identify alternative courses of action
- The Illawarra College of Professional Beauty Therapy also supports and adheres to the New South Wales Government Charter for Equity in Education and Training and the New South Wales Charter of Principles for a Culturally Diverse Society. Copies of both of these documents are included at the end of this document.
Language, Literacy and Numeracy
The Illawarra College of Professional Beauty Therapy recognises that all vocational education and training includes language, literacy and numeracy tasks and all The Illawarra College of Professional Beauty Therapy trainers and assessors provide:
Materials, resources and assessment tools and tasks that do not require students to have language, literacy and numeracy skills of more complexity that those used in the workplace for the competencies being taught and or assessed;
- Clear models of the language/literacy/numeracy task;
- Opportunities for repeated and supported practice; and
- Opportunities for independent practice.
Where some students require additional practice and training The Illawarra College of Professional Beauty Therapy provides language, literacy and innumeracy support.
RECOGNISED PRIOR LEARNING (RPL)
(Recognition of Prior Learning and Mutual Recognition)
Competency-based training courses are made up of modules. If a student can show that they have already gained these skills in a previous course, employment or life experience, they may apply for recognition of this prior learning. An assessment will be given to decide if the student is eligible for RPL and if so the student will be exempt from the relevant modules.
All AQF qualifications and statements of attainment issued by other registered training organisations will be fully recognised by The Illawarra College of Professional Beauty Therapy.
Those students who consider they already possess the competencies identified in all or part of any course/qualification offered by The Illawarra College of Professional Beauty Therapy will be encouraged to seek formal Recognition of those competencies.
The Recognition process is sometimes called Recognition of Prior Learning (RPL) and or Recognition of Current Competency (RCC). The process may also include direct Credit Transfer. It is the determination on an individual basis of the competencies obtained by a student through:
- previous formal training of an AQF qualification,
- work experience, and/or
- life experience
Recognition therefore determines the consequent advanced standing to which the student is entitled in relation to a course/qualification. The main focus of Recognition is what has been learned rather than how, where or when it was learned. Recognition focuses on both the demonstration of competence and the currency of that competence to industry standards.
If any student has gained competencies in the workplace or elsewhere which are relevant to the course/qualification in which he/she is enrolled, then he/she may not have to study module(s)/unit(s) of competence covering that content. Students seeking recognition must establish the currency of their competence.
The processes used to determine recognition are fair to all parties and The Illawarra College of Professional Beauty Therapy ensures that it provides adequate support to all potential applicants.
Recognition Process
It is the student’s responsibility to gather sufficient evidence to support his/her application for recognition. This evidence may include:
- Obtaining a copy of the relevant units of competency from The Illawarra College of Professional Beauty Therapy;
- Aligning the competencies for the qualification with the competencies associated with previous education, training or workplace experience;
- Collecting any documentation, references and relevant examples to support your application;
- Providing proof of ownership of any examples of work;
- Submitting certified copies (NOT ORIGINALS) of qualifications. Certification can generally be obtained from any bank or Post Office as long as identification is provided.
To assist the student gaining recognition a recognition of prior learning information kit and a recognition of prior learning application form are available at enrolment or at anytime from the college office. The information kit explains in detail the steps involved in gaining recognition and the process involved in the assessment of the evidence submitted to gaining the recognition.
Credit Transfer
Recognition can also include the opportunity for Credit Transfer for previous study and must also be accompanied by evidence of currency in the study area.
Appeals Process
An appeals and reassessment process is an integral part of all training and assessment pathways leading to a nationally recognised qualification or Statement of Attainment under the Australian Qualification Framework and in accordance with the Australian Quality Training Framework.
A fair an impartial appeals process is available to students of The Illawarra College of Professional Beauty Therapy. If a student wishes to appeal his/her assessment result, he/she must first discuss the issue with the trainer/assessor.
If the student would like to proceed further with the request after discussions with the trainer/assessor a formal request is made in writing outlining the reason(s) for the appeal.
Grounds for Appeal
- An application for appeal will be considered where:
- A student claims a disadvantage because the subject teacher did not provide a subject outline
- A student claims disadvantage because the subject teacher varied without consultation or in an unreasonable way the assessment requirements as specified in the subject outline
- A student claims disadvantage because assessment requirements specified by the teacher were unreasonably or prejudicially applied to him or her
- A student is of the view that a clerical error has occurred in the documenting of the assessment outcome
- A student claims that there is a discrepancy between the practical observation and the formal assessment.
This is then forwarded to the Principal who will take responsibility for the implementing of the formal Appeals Process and who will record the appeal in writing.
The Illawarra College of Professional Beauty Therapy's time period for the acceptance of appeals is 14 days after the student has been issued with the results of their assessment.
Every effort is made to settle the Appeal to both the student’s and The Illawarra College of Professional Beauty Therapy's satisfaction. Each appeal will be heard by an independent person. Each appellant has an opportunity to formally present his or her case and is given a written statement of the appeal outcomes, including reasons for the decision.
Should the outcome not be acceptable to the student, they will be informed, in writing, of the opportunity to lodge a complaint the Vocational Education and Training Accreditation Board.
CLAIM FOR RPL
If the claim for RPL is supported by recognised original accredited documentation, the college is bound to recognise and accept the claim as presented. In some instances, the College may request that the student undertake an assessment of skills to confirm the level of attainment In all claims for practical procedures, a fee may apply for the time of the assessment. RPL Fee
There is a schedule of charges for all RPL applications. All applications are charged at $90.00 per hour plus GST. A payment of $50.00 at time of application will apply and is non-refundable should the application be withdrawn. If the application is completed the advance payment will be deducted from the total charge for the RPL.
